Job descriptions for each role within MAROC.

President, Secretary, Treasurer, Membership Secretary, Event Coordinator, Webmaster, Mapping, Quartermaster (Equipment), Quartermaster (EMIT), Coaches

President

The Maroc Committee has three presidential posts:

  • President
  • Vice-President
  • Honorary President 

The President and Vice President are executive officers of the committee and shall be elected annually at the AGM, as required by the constitution.

Where possible and practicable, the Vice President post will be utilised to coach and develop a potential successor to the post of President

The President and Vice President will mutual agree how to divide the roles and responsibilities between them. In the event of no Vice President being elected, it shall fall to the President to undertake the complete set of roles and responsibilities, prioritising as necessary.

The President should have a desire to operate at regional and national levels, and have the contacts and experience to enable this. The Vice President may use his time in office to build such contacts and experience prior to being elected to the post of President.

The Honorary President is a purely ceremonial office; 

  • To honour the person concerned;
  • Who shall be elected from time to time;
  • Nominations having been considered by the committee;
  • Taking no part in the normal operation of the committee.

Roles and Responsibilities:

Internal to Maroc

  • Leadership and setting expectations: creating the environment for the committee to act in accordance with it’s agreed practices
  • Seek to ensure delivery on the club’s commitment to no harm to the people and the environment affected by our activities
  • Chair meetings
  • Ensure follow through on Actions – tend to delegate rather than do
  • Development and delivery of the club strategy/development plan
  • Maintain and deliver a succession plan for committee posts
  • Financial Authority (shared with the Treasurer and other approved signatories)
  • Ensure compliance with the club Constitution
  • The custodian and conscience of the club – act always to encourage

External to Maroc

  • Represent Maroc at regional and national levels
  • Act as the “public face of Maroc” - speak for the club
  • Networking and interfaces external to Maroc  

Secretary

Arrange committee meetings at the agreed frequency, co-ordinate creating its agenda and minute the meeting.

Be the central incoming communications point for external communications (e.g. BOF, SOA, local council) and arrange distribution and actions as required.

Notify BOF, SOA and other relevant external organisations (e.g. Aberdeenshire Sports Council) of committee member changes along with contact details.

Fulfil the role of coordinating Club Child Protection Policy within the club - duties to include:

  • Administer and maintain a current record of club members with Enhanced Police Disclosures
  • Supervise Sport's Governing Body (SGB) Child Protection Policy within the club
  • Provide regular updates to committee on the implementation of child protection policy
  • A list of suggested activities for the club's Child Protection Officer is detailed here
  • The club requires that the secretary have an Enhanced Police Disclosure to undertake this supervisory role

Handle general club administration such as the printing of club stationery.


Treasurer

Keep and maintain the club accounts

Prepare and submit reports to regular committee meetings showing current income vs. expenditure, and the current state of club finances

Prepare and present the Annual Statement of Accounts to the Annual General Meeting of the club

Prepare annual budgets of income and expenditure in discussion with appropriate officials and members, and monitor actual expenditure against budgetCalculate and propose to committee and AGM the proposed club element of the membership subscription for the year

Calculate and propose to committee and AGM the proposed event entry fees to be charged for the year

Prepare (jointly with event Organiser) a budget of income and expenditure for events

Ensure the timely payment of accounts due, and prompt banking of income

Maintain a current list of authorised signatories for club cheques

Return of ER3 forms after events and settlement of levy payments


Membership Secretary

Maintain membership lists on computer database.

Supply copies of membership list to President, Secretary, Events 1, Events 2, Treasurer, Newsletter and Publicity, three times per year (Jan, April, Jul).

Receive applications for membership and forward cheques to Treasurer.

Complete forms for BOF or SOA membership, or renewal as appropriate and forward with cheque to SOA Membership Secretary.

Send out Renewal Notices to Members of Maroc/SOA in November with new fees as agreed at AGM.

Liaise with Publicity regarding new membership.Remind members of failure to renew and assist with renewals.

Report to Committee with regard to membership levels and renewals 6 monthly.

Event Coordinator

(Two People) Since the role requires considerable time to be spent on communications with club members and with outside bodies, we have two people undertaking this task and an informal division of responsibilities between them.

The responsibilities are summarised under the headings below:

Events Planning Cycle

Determine level of interest and commitment for C4 events in the coming year by discussion with the committee and contact with members. Determine dates and locations for C4 and other events (e.g. Score & Pudding Shaker).

Represent the club with others at the annual North Area meeting in October/November to fix dates for C4 and other events in conjunction with other clubs.

Plan schedules and locations for C5 events for the first half of the year.

Continue to develop the C5 programme for later in the year.

Pass on event schedules to publicity officer

Putting on Events

Obtain permissions from land owners

Register events with BOF

Identify event officials.

Circulate event information to main officials

Make available the organiser's manual to officials.

Ensure organisers/planners/controllers are aware they have a responsibility to carry out a risk assessment for each event.

Ensure maps are available to event officials

Thanks event officials post-event

Planning for Progression

Promote progression of members towards the qualification of Controller: offer experience of Planning and Organising, maintain record of experience.

Offer opportunity of mentoring to new members to gain experience as officials.

Miscellaneous

Maintain and circulate Organisers manuals as appropriate

Retain map correction records for future reference Maintain forest details records


Webmaster

 


Mapping

Develop and maintain the mapping strategy for the club. This strategy will be presented to the full committee for approval on an annual basis or after material changes.

Investigate new mapping options and assess suitability for the club, examples being greater use of digital maps, e.g. OCAD and printing as required event maps.

Maintain a record of mapped areas and how up to date the maps.

Identify new areas suitable for mapping for orienteering noting including both technical suitability and restrictions such as access or permission restrictions.

Develop a programme of mapping that will include re-mapping and the addition of new areas.

Maintain a record of pre-printed map stocks, their location and arrange re-printing if required.

Represent MAROC at Forestry Commission and appropriate local landowner meetings


Quartermaster (Equipment)

Arrange and maintain appropriate storage for club equipment

Maintain an up to date record of materials and equipment which is the property of the club

Regularly check and report on condition and quantity of materials and equipment, and arrange for necessary repairs and / or replacement

Liaise with event Organiser to agree material / equipment requirements for each forthcoming event; hand over to Organiser and receive back to store after event; note damaged / missing items and arrange for repairs / replacement

Agree (with Treasurer) annual budget for repairs / replacement of materials / equipment

Research new or updated materials and equipment and advise committee of findings


Quartermaster (EMIT)

Arrange and maintain appropriate storage (secure and dry) for emit equipment which is the property of the club, or the property of Grampian Orienteers

Maintain up to date record of Emit equipment

Check and report on condition and quantity of Emit equipment and consumables (including batteries, back-up labels, rolls of thermal paper) and arrange for repairs / replacement with Grampian Orienteers

Liaise with event Organiser to agree requirements for event; hand over / receive back to store ; note damaged / missing items and arrange repairs / replacement with Grampian Orienteers

Liaise with Grampian Orienteers Emit QM for larger events where equipment has to be “pooled”; hand over / receive back as above

Agree annual budget with Treasurer and Grampian Orienteers

Research new developments of Emit equipment and advise committee of findings


Coaches

Note: The BOF coaching award scheme covers the formal training necessary to qualify to teach orienteering at one level or another. The basic criteria for the ‘Coach’ award are reproduced here in the Qualifications section.

It should be noted however that an absence of the formal qualification does not preclude an individual from assisting in coaching. Some experienced orienteers have not made the time or had the inclination to qualify but can still prove a valuable resource. They, if competing at an elite level themselves, may also have the advantage of commanding an additional level of respect from the target group. However sound instruction is vital and therefore care should be taken when accepting the services of an unqualified individual.

Qualifications:

Teacher-Leader

  • Covers basic introduction in a controlled environment, generally only open to qualified teachers and outdoor instructors.

Instructor

  • Instruction to Orange standard only

Coach, Regional or Senior Coach

  • Competent and experienced orienteer
  • Wide knowledge of orienteering with a full understanding of coaching techniques and methods.
  • Have attended relevant level of Coaches Course
  • Valid First Aid Certificate

Responsibilities:

  • Coach junior or club level orienteers particularly in technique training
  • Stimulate and help develop coaching within MAROC
  • Act as consultant /mentor to other club members for physical and technical training

Recommendations - ideal

  • Two senior coaching training days be held per annum – minimum of one
  • Two junior coaching weekends to be held per annum – minimum of one
  • Occasional technical coaching evenings
